Information stored
ServeASAP stores account details such as names, organisation details, email addresses, telephone numbers, password hashes, account status and profile preferences. Matter records may contain recipient, address, service, deadline and instruction notes.
Matter documents
Validated matter-document contents are stored in a configured private directory outside the public application. File metadata includes the original and random stored filenames, detected type, size, category, uploader, SHA-256 checksum and storage state. Access and download events are audited.
Sessions and security
Session identifiers, CSRF tokens, sign-in state and security/audit events are processed to operate and protect the demonstration. Technical errors may be logged without intentionally recording document contents.
Postcode and coordinate processing
Postcode Verification sends entered UK postcodes to an external postcode-data service and stores the returned postcode-centroid coordinates and verification time. Optional attendance coordinates may be supplied by the user’s browser, with permission, or entered manually.
Retention and deletion
An automated retention and deletion schedule is not yet implemented. Operators must define, document and enforce an appropriate policy before live confidential, special-category or court data is entered.
